Are you highly organized, proactive and do you enjoy making sure everything runs smoothly? For an international organization based in Amsterdam, we are looking for a full-time Office Manager who thrives on responsibility and enjoys keeping oversight in a dynamic working environment.
Your role as Office Manager:
As an Office Manager, you are responsible for ensuring the smooth day-to-day operations of the office. You make sure employees and guests feel welcome and that the office remains efficient, organized and fully equipped. You easily switch between different tasks and remain calm and structured, even under pressure.
What will you be doing?
Together with your colleagues, you ensure the office operates at its best. You set priorities, take ownership and manage a broad range of responsibilities. Your tasks include:
- overseeing the daily operations of the office and ensuring employees and guests have smooth access to the building.
- managing office facilities, supplies and IT equipment, including ordering, tracking hardware and liaising with suppliers and building management.
- organizing lunches, company events, conferences and workshops, including travel and accommodation arrangements.
- supporting HR processes such as onboarding, workstation setup, employee well-being initiatives and leading the BHV program.
- handling administrative and financial tasks, including mailbox management, invoices, expenses, credit card use and monthly reconciliations.
Who are you?
You are an organized and efficient professional with a proactive mindset. You are detail-oriented, able to prioritize effectively and comfortable managing multiple tasks and projects simultaneously. With your approachable and confident personality, you communicate easily with people at all levels inside and outside the organization. In addition, you have:
- a minimum of 2 years of experience as an Office Manager, preferably within an international environment.
- excellent communication skills and fluency in English (written and spoken).
- conversational level of Dutch (minimum B1/B2).
- proficiency in Microsoft Office and the ability to manage multiple responsibilities simultaneously.
